This Refund & Cancellation Policy explains how AgriBid Zambia ("AgriBid", "we", "us", or "our") handles refunds, cancellations, payment reversals, disputes, and transaction issues on the platform.

By using the platform, you agree to this policy.

1. Nature of the Platform

AgriBid facilitates transactions between independent buyers and sellers.

Because livestock auctions and agricultural sales involve time-sensitive commitments, transportation arrangements, and animal handling costs, all bids and purchases are treated seriously and may become legally binding once confirmed.

2. Auction Sales

2.1 Binding Bids

When a buyer places a bid on an auction listing:

  • The bid is considered legally binding;
  • The buyer agrees to complete payment if they win the auction;
  • Bids cannot normally be withdrawn once submitted.

Winning bidders who fail to complete payment may face:

  • Account suspension;
  • Restriction from future bidding;
  • Cancellation of auction privileges;
  • Administrative or recovery charges.

2.2 Non-Refundable Auction Wins

Unless otherwise required by law or approved by AgriBid under exceptional circumstances:

  • Winning auction payments are generally non-refundable;
  • Deposits or commitment payments may be non-refundable;
  • Buyers are expected to inspect listing details carefully before bidding.

3. Fixed-Price Purchases

For fixed-price listings:

  • Cancellation requests must be submitted before the seller confirms processing or delivery arrangements;
  • Once livestock transport, preparation, or delivery has started, cancellations may no longer be possible.

Refund eligibility depends on the specific circumstances of the transaction.

4. Situations Where Refunds May Be Considered

AgriBid may review refund requests in situations including:

  • Duplicate payments;
  • Incorrect charges caused by technical errors;
  • Proven fraudulent activity;
  • Listings materially different from their description;
  • Seller inability to provide the listed livestock or asset;
  • Transactions cancelled by AgriBid due to policy violations.

Refunds are reviewed on a case-by-case basis.

Submitting a request does not guarantee approval.

5. Non-Refundable Situations

Refunds will generally not be provided for:

  • Buyer remorse or change of mind;
  • Failure to read listing descriptions;
  • Minor differences in livestock appearance or condition consistent with normal agricultural variation;
  • Delays caused by transport providers or third parties;
  • Failure to arrange collection within agreed timelines;
  • Bids placed accidentally by the buyer;
  • Transactions completed outside the platform.

6. Livestock and Agricultural Asset Conditions

Buyers acknowledge that:

  • Livestock are living animals and may naturally vary in weight, appearance, or condition;
  • Agricultural assets may show normal wear and use;
  • Sellers are responsible for accurate disclosures;
  • AgriBid does not independently guarantee the condition, health, or suitability of listed items unless expressly stated.

Buyers are encouraged to request inspections, veterinary verification, or additional information before bidding or purchasing.

7. Refund Request Process

To request a refund, users should contact AgriBid support and provide:

  • Full name and account details;
  • Transaction reference number;
  • Description of the issue;
  • Supporting evidence where applicable.

Refund requests should be submitted within 7 days of the transaction or delivery/collection date unless otherwise required by law.

AgriBid may request additional documentation before making a decision.

8. Refund Processing Time

Approved refunds may take several business days to process depending on:

  • Payment provider timelines;
  • Mobile money operators;
  • Banking systems;
  • Verification requirements.

Refunds will generally be issued using the original payment method where possible.

9. Seller Cancellations

Sellers must not cancel completed sales without valid reason.

Where sellers fail to fulfil transactions:

  • AgriBid may issue refunds where appropriate;
  • Seller accounts may be restricted or suspended;
  • Platform penalties or administrative actions may apply.

10. Platform Fees

Certain service fees, processing charges, promotional fees, or listing fees may be non-refundable even where transaction refunds are approved.

AgriBid reserves the right to deduct applicable administrative costs where permitted.

11. Fraud Prevention

AgriBid reserves the right to:

  • Delay refunds during investigations;
  • Suspend suspicious transactions;
  • Refuse refund requests involving abuse or fraud;
  • Share information with law enforcement where required.

Fraudulent refund claims may result in permanent account suspension.

12. Chargebacks and Payment Disputes

Users are encouraged to contact AgriBid before initiating bank or mobile money chargebacks.

Improper or fraudulent chargebacks may result in:

  • Account suspension;
  • Recovery proceedings;
  • Restriction from future platform use.

13. Dispute Resolution

Where disputes arise between buyers and sellers, AgriBid may:

  • Review transaction records;
  • Review communications and listing details;
  • Facilitate discussions between parties.

However, AgriBid is not obligated to act as a formal arbitrator and final responsibility for transactions remains with the buyer and seller.

14. Changes to This Policy

AgriBid may update this Refund & Cancellation Policy from time to time.

Updated versions become effective once published on the website.

Continued use of the platform constitutes acceptance of the updated policy.

15. Governing Law

This policy shall be governed by the laws of the Republic of Zambia.

Any disputes arising from this policy shall be subject to the jurisdiction of Zambian courts.
